How we handle your report and details
Classify My Soil is a service of Hazardous Waste Management Ltd (registered in England No. 06821901, registered office Otterbourne Farm, Kiln Lane, Otterbourne, Hampshire SO21 2EN), part of HWM Group. We are the data controller for the information you give us through this site. This notice explains what we collect, why, and what we do with it. It is a working notice that will be reviewed by our legal advisers; if anything here is unclear, contact us at info@classifymysoil.co.uk.
What we collect
- The documents you upload: site investigation reports and laboratory certificates, which may contain site addresses, client names and consultant details.
- The details you enter: your name, company, work email, mobile number, site postcode and the quantity of material.
- Technical information our hosting provider records when you use the site, such as your IP address and browser type.
Why we use it
- To run the indicative screen on your report and send you the result. Our lawful basis is that this is necessary to provide the service you asked for.
- To contact you about treatment or disposal of material that screens hazardous. Our lawful basis is our legitimate interest in following up an enquiry you made, which you can object to at any time by replying to any email from us.
- To meet our own duty of care and record-keeping obligations as a hazardous waste operator.
We do not use your details for unrelated marketing without asking first, and we do not sell them.
Who sees it
Your report and details are seen by the competent chemist who reviews your screen and by the account contact who handles your enquiry. Where we quote a third-party facility, we share only what that facility needs to assess the material. Our form and hosting provider processes submissions on our behalf under its own data processing terms.
Where it is stored and for how long
Uploaded reports and form details are stored in the United Kingdom. We delete them 90 days after submission unless you ask us to keep them, or unless the enquiry becomes a job, in which case the records are kept for as long as our waste record-keeping obligations require.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct or delete it, or object to our use of it. Email info@classifymysoil.co.uk. You can also complain to the Information Commissioner's Office at ico.org.uk.
